Privacy information

FamilyColab is built for family-managed accounts, child-friendly profiles, creative tools, and shared activities. This page explains, in plain language, what information we collect, how we use it, and what choices parents have.

This page is a general privacy notice for FamilyColab, operated by Germani Ventures LLC. It should be reviewed and approved by your legal team before production use if you need a formal policy tailored to your jurisdiction.

What we collect

We collect information needed to run the service and the family features people choose to use.

  • Parent account details such as name, email address, family relationship, subscription details, and account settings.
  • Child profile details such as display name, username, avatar, and parent-managed login credentials.
  • Family content and activity, including stories, comics, coloring pages, photo zines and cards, whiteboards, reading logs, planner items, bank entries, messages, and uploads.
  • Optional linked-account data when a parent connects Google, Microsoft, Apple, or Yahoo, including account email, calendar metadata and events the parent chooses to sync, events a parent adds or edits from FamilyColab where that feature exists, task lists used by Family Board widgets, and OneDrive folders a parent chooses to sync into the gallery.
  • Basic technical and security data such as IP address, browser or device information, error logs, and usage records used to keep the service working and safer.

Kids and parents

FamilyColab is meant to be used in a parent-managed family setting. That means we expect adults to set up the family, manage billing, and oversee what gets shared.

  • Parents or guardians should create and manage family accounts and decide what child profile details are added.
  • Parents can contact us to request review, correction, export, or deletion of family data, subject to legal or operational retention needs.
  • Billing and subscription actions are intended for parent-managed accounts. We do not knowingly ask children to submit payment card details.
  • If content is shared through a public or direct link, anyone with that link may be able to view the shared item until it is removed or the link is disabled.

How we use information

  • Create and manage family accounts, child profiles, and sign-in sessions.
  • Save creations, progress, preferences, and shared activity across the site.
  • Show synced calendars and tasks on the home page and on Family Board widgets the parent configures, including marking a Google or Microsoft task complete when the parent completes it in FamilyColab, and adding, editing, or deleting a Google Calendar or Outlook Calendar event when a parent asks us to.
  • Deliver invites, service emails, contact replies, and account notices to parents or invited recipients.
  • Run paid features, storage limits, fraud prevention, moderation, troubleshooting, and product improvements.

Text messaging and mobile alerts

If a parent or guardian turns on FamilyColab SMS alerts, we use text messaging for low-volume, transactional notifications connected to family account activity rather than for broad promotional campaigns.

  • If a parent or guardian opts in to FamilyColab text alerts, we may collect the mobile number, delivery metadata, and a record of when and how consent was given.
  • FamilyColab text alerts are intended for transactional notices such as meal approval requests, reminders, and status updates.
  • Message frequency varies, and message and data rates may apply.
  • Subscribers can reply STOP to unsubscribe or HELP for help.
  • Mobile opt-in information and consent will not be shared with third parties or affiliates for marketing or promotional purposes.

Linked calendars and accounts

Parent sign-in to FamilyColab uses Auth0. Separately, a parent may choose to link a calendar or cloud account so FamilyColab can show that family's schedule, and in some cases tasks or photos. This section explains how that data is accessed, used, stored, and shared.

  • Parents can optionally connect Google, Microsoft (Outlook), Apple (iCloud), or Yahoo from Linked Accounts so Family Board and the home calendar can show that family's events.
  • Synced calendar and task content is stored in FamilyColab only as needed to display and refresh those features for the family that owns the connection.
  • We do not use linked calendar or task data for advertising, we do not sell it, and we do not use it to train AI models.
  • Parents can disconnect a provider at any time from Linked Accounts. Disconnecting stops sync and removes that connection's synced calendar sources and, where applicable, synced task lists from FamilyColab.
  • Only parent accounts can change events on a connected calendar, and only where FamilyColab supports writing to that provider. Child profiles can view the family's events and hide individual events from their own home page, which changes nothing on the calendar itself.

Google Calendar and Tasks

  • When connected, FamilyColab receives the Google account email and profile identity needed to label the connection, plus access to calendar lists and calendar events the parent enables for sync.
  • FamilyColab requests read and write access to Google Calendar events so a parent can add, edit, and delete an event without leaving FamilyColab. We write to Google only in response to a specific action a parent takes on a specific event, and only on calendars where Google reports the parent as the owner or an editor. For a repeating event the parent chooses whether the change applies to that one day, to that day and the ones after it, or to every occurrence. We never change guests, invitations, or calendar sharing, and never create, rename, or delete whole calendars.
  • FamilyColab also requests Google Tasks access so it can sync task lists into Family Board and update a task's completed status in Google when a parent marks that synced task complete in FamilyColab.
  • We store OAuth tokens (including refresh tokens) securely so the connection can keep working until the parent disconnects. Tokens are used only to call Google APIs for these Family Board features.
  • Use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Microsoft Outlook, To Do, and OneDrive

  • When connected, FamilyColab receives the Microsoft account email and profile identity needed to label the connection.
  • Outlook calendars the parent enables are read into the family schedule. FamilyColab also requests read and write access to Outlook calendar events so a parent can add, edit, and delete an event without leaving FamilyColab. We write to Outlook only in response to a specific action a parent takes on a specific event, and only on calendars where Microsoft reports that the parent may edit them. For a repeating event the parent chooses whether the change applies to that one day, to that day and the ones after it, or to every occurrence. We never change guests, invitations, or calendar sharing, and never create, rename, or delete whole calendars.
  • Microsoft To Do lists can sync into Family Board. When a parent marks a synced task complete in FamilyColab, we can update that task's completed status in Microsoft To Do.
  • If a parent links OneDrive folders, FamilyColab can sync photos from those folders into the family gallery. We only access folders the parent chooses.
  • We store OAuth tokens securely and use them only for these FamilyColab features until the parent disconnects.

Apple Calendar

  • Apple Calendar connects with the parent's Apple ID email and an Apple app-specific password. FamilyColab never asks for the regular Apple password.
  • That credential is stored securely so FamilyColab can read iCloud calendars over CalDAV and show events the parent enables on the family schedule.
  • FamilyColab does not currently add, edit, or delete Apple Calendar events from the app.
  • Parents can disconnect Apple Calendar at any time from Linked Accounts, which removes that connection's synced calendars.

Yahoo Calendar

  • A parent may optionally connect Yahoo so FamilyColab can show Yahoo calendar events on the family schedule, the same way other linked calendars work.
  • Yahoo calendar data is used only for that family-schedule purpose. It is not used for advertising, not sold, and not used to train AI models.
  • Parents can disconnect Yahoo at any time from Linked Accounts.

When we share information

We do not sell personal information just to make money from advertising lists.

  • With family members, approved friends, or recipients you choose when you use sharing, invite, chat, or public-link features.
  • With service providers that help us operate FamilyColab, such as hosting, storage, authentication, email delivery, payments, communications, and AI-powered generation tools.
  • Calendar and task data from Google, Microsoft, Apple, or Yahoo is used only to provide the family schedule and related Family Board features described on this page. We do not sell that data, use it for advertising, or transfer it to data brokers.
  • If we need to protect users, enforce our rules, respond to legal process, or prevent fraud, abuse, or security issues.

Security and retention

We use administrative, technical, and organizational measures designed to protect account data. No system can promise absolute security, so families should also use strong passwords, protect parent access, and contact us quickly if they think an account has been misused.

We keep information for as long as it is reasonably needed to operate the service, maintain records, resolve disputes, enforce rules, and meet legal obligations. Retention periods may vary by feature and by the type of data involved.
